Packiyo Portal Overview

Packiyo WMS streamlines warehouse operations, managing inventory, orders, shipping, and returns, along with providing essential reports.

The portal enables fast adjustments to products, orders, and returns, plus offers detailed shipping reports. This is crucial for customer support to modify orders quickly or manage inventory shipments, eliminating the need for time-consuming emails or calls.

This system ensures efficient coordination between your team and the fulfillment provider, enhancing daily operation management without confusion or delays.


What You Can Do

Here's what's available in your Packiyo Portal:

  • Create ASNs (Advanced Shipping Notices), or Purchase Orders, for the fulfillment partner warehouse.

  • View and modify orders from sales channels like Shopify, Amazon, BigCommerce, etc. View our integrations.

  • Create orders directly in Packiyo, use a CSV, or input them one by one.

  • View and modify products from sales channels or those added to Packiyo.

  • Handle returns by creating and modifying them.

  • Access reports on Shipments, Shipped Items, Stale Inventory, Lots/Expirations, Serial Numbers, and Returned Products.


What You Can't Do

Packiyo equips you to handle many aspects of fulfillment, but there are some things beyond its scope for practical operational reasons. Here's what you can't do:

  • Adjust inventory levels for products in the fulfillment partner's warehouse.

  • Change or cancel orders after they're picked, packed, or shipped.

  • Edit a purchase order once it's received by the warehouse.

  • Ship orders yourself.


Getting Started

To access your Packiyo Portal, you will need the URL (this is unique for every fulfillment partner that uses Packiyo WMS) along with an active account. If you don't already have this information, please contact your fulfillment partner.

Once you have successfully logged in, you will be presented with the default dashboard view:

The basic interface has 3 main navigation elements.

  1. The main menu. From here you can access Orders, Inventory, Returns, Purchase Orders, and Reports.

  2. The settings and advanced features menu. From here you map shipping services (we recommend you work with your fulfillment partner to set shipping rules), add new accounts for additional people on your team to access the portal, create and manage Kit products, and manage vendors (required for the creation of purchase orders).

  3. The profile menu. From here you can update your profile, view system activity, link to Packiyo documentation, or log out.


Order Features

Packiyo automatically downloads orders from your connected sales channels. If you need to add new sales channels, contact your fulfillment partner.

You can easily search and filter the orders in Packiyo to view more details about them.

Viewing Orders

The Orders view presents several features that are generally available on all list views:

1 - Search & Filter

This feature lets you search by order number and use additional filters to narrow down your search.

Tip: to search for a partial match, use the % operator. For example, %007 will return all orders containing 007.

2 - Bulk Edit

This lets you modify many orders at once.

Bulk edit options include:

3 - Create Order

This feature provides a quick method to create an order. Click the Create Order Button to get started creating an order directly within Packiyo.

4 - Import & Export CSV

This feature provides a more advanced option for importing new or updating existing orders via a CSV. If you want to upload orders via a CSV upload, download the CSV file first and use it as your template.

5 - Edit List Columns

This option allows you to customize what information you want to be displayed on the screen when viewing orders.

6 - Show Entries

This option allows you to control how many orders to list at once. The lesser the number, the faster the page will load. If you're finding that the page is taking too long to load, it may be because 1000 records may take some time to display. We recommend you keep this to no more than 100.

Viewing & Modifying an Order

Packiyo provides a quick method to make changes to order line items, set a hold, add a note, modify shipping and billing address, or even cancel the order. If the order is not ready to ship, then it will indicate why. In the image here, the image cannot ship because products are back-ordered.


Inventory Features

Packiyo will download and sync any products from your connected sales channels. We recommend that you make product changes directly in your sales channel because Packiyo will sync any changes. However, you may want to manage specific product information such as if it's a kit, or if it requires lot tracking or serial number tracking.

To view and manage products, click on Inventory > Products from the main menu.

You can edit a product and view any changes by clicking on a product. Just like in the manage orders view, you can export and import CSV changes, select multiple products, and apply bulk changes using the bulk edit feature.


Sending Inventory to your Warehouse

  1. Start by locating the purchase orders tab on the main page.
    When entering the PO section of Packiyo you will have the option to create a new PO.

  2. Press the Create PO button:

  3. Now you will have some fields that need to be filled.
    A) Fields that must be filled: Warehouse, Vendor, PO Number (in pink box below)
    B) Optional fields: Tracking Number, Tracking URL, Ordered at, Expected at, Tag

  4. add the product you are receiving.

  5. now click the Save button and notify your Wearhouse partner of the PO.


Available Reports

Packiyo provides a basic set of reports showing activity and current information from the WMS. These reports can be filtered and exported as CSV files.

These reports are:

  • Shipments. This report shows all orders that have been shipped and includes information such as order number, items shipped, shipping address, tracking number, label if the label was voided, and when the order was shipped.

  • Shipped Items. This report shows all product inventory that has shipped and includes information such as order number, product quantity, tracking number, price, shipping method, and carrier.

  • Stale Inventory. This report shows the movement of product inventory, indicating what was sold in the past 30, 60, 90, 180, and 365 days.

  • Serial Numbers. This report shows any tracked serial numbers that were entered on any products that require serial number tracking and were shipped.

  • Returned Products. This report shows any products that have been returned.

  • Lot Inventory. This report shows inventory by lot, expiration, and location.
