Overview
This guide explains the order statuses you'll see in Packiyo: Pending, Cancelled, Backordered, and Fulfilled. Use it as a quick reference for what each means, why an order might move into it, and what to do next.
Pending
Cancelled
- Meaning: The order won't be fulfilled. Cancellation can be initiated by the customer, the merchant, or the system (for example, due to payment failure or inventory constraints).
Common reasons:
- Customer requested cancellation.
- Payment failed or a chargeback occurred.
- Merchant cancelled due to out-of-stock items, pricing errors, or other business reasons.
- Fraud detection or compliance issues.
- Customer impact: No shipment will occur. Refunds or next steps depend on the merchant's cancellation and refund policy.
- Recommended actions: Review the cancellation reason in the order details. Customers should contact the merchant if they believe the cancellation was an error, or to request a refund timeline. Merchant support should follow refund and notification procedures.
Backordered
- Meaning: One or more items on the order aren't currently available to ship, and will ship once inventory is replenished.
- Important: Backordered isn't a status that displays on the order itself — an order with backordered lines still shows as Pending. To find these orders, filter your order list down to those with backordered lines.
- When you see it: When inventory for one or more line items is insufficient to fulfill the requested quantity immediately.
- Customer impact: Part or all of the order will ship later. The order stays active, but fulfillment for backordered items is delayed.
Common workflows:
- Partial shipment — in-stock items ship now; backordered items ship later.
- Hold for complete shipment — the merchant waits until all items are available before shipping.
- Recommended actions: Communicate expected restock/ship dates to the customer. Offer alternatives (substitutions, refunds, or cancelling backordered lines) based on merchant policy.
Fulfilled
- Meaning: All lines on the order have been shipped and the order is complete.
- When you see it: Once every line item has shipped — whether in one shipment or across several.
- Customer impact: The order is complete; the customer should have tracking information for all shipments.
- Recommended actions: No action typically needed. If a customer reports an issue with a Fulfilled order (damage, missing items, etc.), handle it through your returns or claims process.
Examples
- Pending → Cancelled: Payment can't be resolved, and the merchant cancels the order.
- Pending (with backordered line) → Fulfilled: Order is accepted with one SKU short on stock; inventory arrives, the backordered line ships, and the order moves to Fulfilled.
- Pending → Fulfilled: Order is accepted, fully allocated, and ships in one shipment.
FAQ
Can a cancelled order be reactivated?
Typically no — recreate the order, or contact merchant support to discuss exceptions.
Will I be charged for a backordered item now?
Charging policies vary. Some merchants charge at shipment; others pre-authorize at order placement. Check the merchant's payment policy.
What does "Pending" mean on my order tracker?
It means the order is paused for review, or waiting on a required step — payment, info, or inventory. Check for messages from the merchant.
