If your fulfillment partner utilizes Packiyo WMS, you have access to a dedicated portal designed to streamline your fulfillment operations.
Packiyo Portal Overview
Packiyo WMS enhances warehouse operations by managing inventory, orders, shipping, and returns, and providing essential reports.
The portal allows for quick adjustments to products, orders, and returns, and offers detailed shipping reports.
This capability is crucial for customer support teams to modify orders promptly or manage inventory shipments, reducing the need for time-consuming communications.
The system ensures efficient coordination between your team and the fulfillment provider, improving daily operations without confusion or delays.
Capabilities of Your Packiyo Portal
Within your Packiyo Portal, you can:
- Create Advanced Shipping Notices (ASNs) or Purchase Orders for the fulfillment partner's warehouse.
- View and modify orders from sales channels like Shopify, Amazon, and BigCommerce.
- Create orders directly in Packiyo, either by uploading a CSV file or inputting them individually.
- View and modify products from sales channels or those added to Packiyo.
- Handle returns by creating and modifying them.
- Access reports on shipments, shipped items, stale inventory, lots/expirations, serial numbers, and returned products.
Limitations of Your Packiyo Portal
While Packiyo equips you to manage many aspects of fulfillment, certain actions are beyond its scope for practical operational reasons. These include:
- Adjusting inventory levels for products in the fulfillment partner's warehouse.
- Changing or canceling orders after they've been picked, packed, or shipped.
- Editing a purchase order once it's received by the warehouse.
- Shipping orders yourself.
Getting Started
To access your Packiyo Portal, you'll need the unique URL associated with your fulfillment partner and an active account. If you don't have this information, please contact your fulfillment partner.
Upon successful login, you'll be presented with the default dashboard view. The interface includes three main navigation elements:
- Main Menu: Access sections such as Orders, Inventory, Returns, Purchase Orders, and Reports.
- Settings and Advanced Features Menu: Map shipping services (it's recommended to work with your fulfillment partner to set shipping rules), add new accounts for additional team members to access the portal, create and manage kit products, and manage vendors (required for creating purchase orders).
- Profile Menu: Update your profile, view system activity, access Packiyo documentation, or log out.
Order Features
Packiyo automatically downloads orders from your connected sales channels. If you need to add new sales channels, contact your fulfillment partner. You can easily search and filter orders in Packiyo to view more details about them.
Viewing Orders
The Orders view presents several features that are generally available on all list views:
- Search & Filter: Search by order number and use additional filters to narrow down your search. To search for a partial match, use the '%' operator. For example, '%007' will return all orders containing '007'.
- Bulk Edit: Modify multiple orders at once.
- Create Order: Quickly create an order directly within Packiyo.
- Import & Export CSV: Import new or update existing orders via a CSV file. If you want to upload orders via CSV, download the CSV file first and use it as your template.
- Edit List Columns: Customize the information displayed on the screen when viewing orders.
- Show Entries: Control how many orders to list at once. Displaying fewer entries can lead to faster page load times. If the page is taking too long to load, consider reducing the number of records displayed. It's recommended to keep this number to no more than 100.
Viewing & Modifying an Order
Packiyo provides a quick method to make changes to order line items, set a hold, add a note, modify shipping and billing addresses, or even cancel the order. If the order is not ready to ship, the system will indicate the reason, such as products being back-ordered.
Inventory Features
Packiyo will download and sync any products from your connected sales channels. It's recommended to make product changes directly in your sales channel, as Packiyo will sync any changes. However, you may want to manage specific product information, such as designating a product as a kit or indicating if it requires lot tracking or serial number tracking.
Viewing & Managing Products
- Click on 'Inventory' > 'Products' from the main menu.
- You can edit a product and view any changes by clicking on it. Similar to the 'Manage Orders' view, you can export and import CSV changes, select multiple products, and apply bulk changes using the bulk edit feature.
Sending Inventory to Your Warehouse
To send inventory to your warehouse:
- Access the Purchase Orders Tab: Locate the 'Purchase Orders' tab on the main page.
- Create a New Purchase Order: Press the 'Create PO' button.
- Fill in the Required Fields:
- Mandatory Fields: Warehouse, PO Number.
- Optional Fields: Tracking Number, Vendor, Tracking URL, Ordered At, Expected At, Tag.
- Add Products: Add the products you are sending to the warehouse.
- Save and Notify: Click the 'Save' button and notify your warehouse partner of the purchase order.
Available Reports
Packiyo offers a suite of reports to provide insights into your warehouse management system (WMS) activities. These reports can be filtered and exported as CSV files for further analysis. The available reports include:
- Shipments: Details all shipped orders, including order numbers, items shipped, shipping addresses, tracking numbers, label statuses (e.g., if voided), and shipment dates.
- Shipped Items: Provides information on all shipped product inventory, such as order numbers, product quantities, tracking numbers, prices, shipping methods, and carriers.
- Stale Inventory: Tracks product inventory movement, indicating sales over the past 30, 60, 90, 180, and 365 days.
- Returned Products: Displays any products that have been returned.
- Lot Inventory: Shows inventory categorized by lot, expiration dates, and location.
- Duplicate Barcode: Shows a list of any SKUs that share the same Barcode value.
- Serial Numbers: Lists tracked serial numbers for products requiring serial number tracking that have been shipped.
